Purpose

 

SyncMyCal 30Boxes- Microsoft Outlook 30Boxes Calendar Synchronization ToolThe purpose of this help is to assist SyncMyCal 30Boxes users while they are working on SyncMyCal 30Boxes application.

SyncMyCal 30Boxes is a software tool which helps you synchronize your Outlook® Calendar with 30 Boxes™ calendar. This means that you may not only export your meeting details from Microsoft Outlook® to 30 Boxes™ calendar but may also download event information from 30 Boxes™ calendar to your desktop calendar. If you are traveling and do not have access to your company’s Microsoft® Exchange server, SyncMyCal 30Boxes plug-in provides you an easy alternative to access and share your calendars. Besides, all this can be done just with zero click!

Installing SyncMyCal 30Boxes

 

SyncMyCal 30Boxes is really easy to install and use. An installation wizard guides you through the various steps required for installing SyncMyCal 30Boxes on your machine.

   
   
 
  1. Please click on the SyncMyCal 30Boxes setup icon , to start the SyncMyCal 30Boxes installation wizard.



  2. A new Install shield wizard screen would open up, in which the Pre requisites which are not installed on your machine, would be listed. Click on the OK button. {.NET 2.0 framework runtime is a necessary requirement for the program to run, and would not be listed in the Pre requisites screen.}



  3. The wizard would check for .NET 2.0 framework runtime on your machine, and if it is not installed, automatically start downloading .NET framework 2.0 runtime,




  4. after which you would be displayed a prompt for installing .NET 2.0 framework runtime on your machine. Please click on the Run button.
    After clicking on the Run button, the installer might just take some time.




  5. Once the wizard installs .NET framework 2.0 runtime on your machine, it would install Visual Studio® tools for Office Second Edition runtime on your machine.


  6. Once the wizard has installed all the Pre requisites and necessary components on your machine, it would start with SyncMyCal 30Boxes installation on your machine.
     

  7. Please accept the licensing terms and conditions and then click on the Next button



  8. Make any changes, if desired, and then click on the Next button.



  9. Click on the Install button.


  10. SyncMyCal 30Boxes would be installed on your machine, after which, the successful installation screen of the wizard would be displayed. Please click on the Finish button, to close the installation wizard.





 

During the Installation, you can move across the various steps of the wizard, by using the Back and Next buttons. To cancel the Installation wizard, click on the Cancel button.

 
   
  The system requirements for using SyncMyCal 30Boxes are as follows:

Settings

Sync Operation
   
  Sync operation Settings allow you to Configure Operations in SyncMyCal 30Boxes. An operation basically refers to a configuration, in which the calendars and the mode of synchronization is specified.
   
 

An operation defines a mapping between a single 30Boxes™ calendar and a single Outlook® Calendar.

 
 
Add operation allows you to add a new operation. Four different types of operations can be added:
 
Download only Operation
   
 

A “Download only” type operation can be added using the following steps:

  1. Click on the  button in SyncMyCal 30Boxes Toolbar.
  1. In the new window which opens, click on the  button.
  1. Choose the operation as “Download only”.
  1. Check the “Is Active?” Check Box, to make the operation active.
  1. Configure the Synchronization window by specifying the ‘Previous days’ and ‘Next days’ value in the “Choose Events from the Previous to Next days” field. The date range is the user defined range which decides the synchronization boundary of dates to which synchronization would be done.


Synchronization Window

  1. Select the Outlook® Calendar.
  1. Login to your 30Boxes™ account through the web browser by specifying your credentials.
    * You need to login to your 30 Boxes account only for the first time you are creating the operation. After this, SyncMyCal 30Boxes would cache/store your account information and you do not need to authenticate using your web browser again.
  1. Now, click on the button. This would open up a new window in which your 'Authentication token' would be specified. Please copy this token from the new window and then click on the button.
  1. Click on the  button.
 
Upload only Operation
   
 

“Upload only” operation can be added using the following steps:

  1. Click on the  button in SyncMyCal 30Boxes toolbar.
  1. In the new window which opens, click on the  button.
  1. Choose the operation as “Upload only”.
  1. Check the “Is Active?” check box, to make the operation active.
  1. Check the “Publish Private events?” check box, to publish/send complete information of Private events to the 30Boxes™ calendar. Check the “Publish only Free/Busy information?” check box, to publish/send only Free/Busy tags of Outlook events to the 30Boxes™ calendar.
  1. Configure the Synchronization window by specifying the ‘Previous days’ and ‘Next days’ value in the “Choose Events from the Previous to Next days” field. The date range is the user defined range which decides the synchronization boundary of dates to which synchronization would be done.

  4. Check the “Is Active?” check box, to make the operation active.

  5. Check the “Publish Private events?” check box, to publish/send complete information of Private events to the 30Boxes™ calendar. Check the “Publish only Free/Busy information?” check box, to publish/send only Free/Busy tags of Outlook events to the 30Boxes™ calendar.

  6. Configure the Synchronization window by specifying the ‘Previous days’ and ‘Next days’ value in the “Choose Events from the Previous to Next days” field. The date range is the user defined range which decides the synchronization boundary of dates to which synchronization would be done.

  1. Select the Outlook® Calendar.

  1. Check the “Publish Private events?” check box, to publish/send complete information of Private events to the 30Boxes™ calendar. Check the “Publish only Free/Busy information?” check box, to publish/send only Free/Busy tags of Outlook events to the 30Boxes™ calendar.

Edit Operation
 
Edit operation allows you to edit the configured operations.
   
  To Edit an Operation:
 
  1. Click on the operation, to select it, and then click on the  button. Alternately, you can double click on an operation to open the Edit window.

  2. Make the necessary changes.

  3. Click on the  button.
 
Delete Operation
 
Delete operation allows you to delete the configured operations.
 
  To Delete an Operation:

 
  1. Click on the operation, to select it.

  2. Click on the  button.

  3. In the Warning Alert which appears, click on the button.
 
Changing the Order of operation execution
 
Changing the Order of operation execution allows you to change the order in which the configured operations are executed.
   
  To Change the Order of operation execution:

 
  1. Click on the operation, to select it.

  2. Now, click on the  or  buttons, to change the order of the operation.
 
   
What is Unregister feature for SyncMyCal 30Boxes Pro?
   
 

SyncMyCal 30Boxes Lite is the trial version of SyncMyCal 30Boxes and has to be registered with license key and certain other registration details (these are sent to the user following SyncMyCal 30Boxes Pro license purchase), to upgrade to the fully loaded, feature rich paid SyncMyCal 30Boxes Pro version.

SyncMyCal 30Boxes Lite version can be registered and upgraded to the SyncMyCal 30Boxes Pro version by going to SyncMyCal 30Boxes >> Register link. Upon registering and upgrading to SyncMyCal 30Boxes Pro version, the Register link present in the SyncMyCal Menu would convert to "Unregister". If a user needs to remove SyncMyCal Pro from his or her machine due to formatting requirements of the machine, or for any other reason, he/she should click on the Unregister link. This would convert SyncMyCal Pro to the SyncMyCal Lite (trial) version. At any later stage, when the user wishes to convert back to the Pro version, he/she can register the product using the same licensing information, which is sent from the Sales Team of SyncMyCal following his/her SyncMyCal license purchase.

   
 
   
What is Publish private events information and Publish Free/Busy information?
 


Publish private events informaton feature lets you choose between publishing/not publishing your Outlook® calendar Private events information to the 30Boxes™ calendar. When checked, all the Outlook® calendar private events information gets published to the 30Boxes™ calendar, otherwise, private events are published with "BUSY" tag.

Publish Free/Busy Information feature lets you choose between publishing your Outlook® Calendar events complete information/publishing only FREE/BUSY Information to the 30Boxes™ calendar. When checked, all the Outlook® calendar events get published with FREE/BUSY Information in the 30Boxes™ calendar, otherwise, complete information of all the Outlook® calendar events gets published to the 30Boxes™ calendar.

   
 

Publish Private Events  Information?

Publish only Free/Busy information ?

Description/Behavior
for this settings

Private Events Information Publishing is not activated; hence all the Private events would have a BUSY written with them when they are sent to 30Boxes™ calendar.

* Its only the Private event's information which is not going to the 30Boxes™ calendar, the Private event would be exported in any case and would appear in the 30Boxes™ calendar with a BUSY tag.

Publish only Free/Busy information is not activated, hence all the non-Private events which are being exported to 30Boxes™ calendar would have their actual information with them.

EFFECTIVELY, all the Non-Private Events would have their complete information sent to 30Boxes™ calendar and all the Private events would have a BUSY tag sent to 30Boxes™ calendar during synchronization.

Private Events Information Publishing is not activated; hence all the private events would have a BUSY written with them when they are sent to 30Boxes™ calendar.

* Its only the Private event's information which is not going to the 30Boxes™ calendar, the private event would be exported in any case and would appear in the 30Boxes™ calendar with a BUSY tag.

Publish only Free/Busy information is activated, hence all the events which are being exported to 30Boxes™ calendar would have FREE/BUSY with them.

*If an event is marked as Free, then it would have FREE with it, otherwise it would have BUSY with it, when it is sent 30Boxes™ calendar.

EFFECTIVELY, all the Non Private events would have FREE/BUSY sent to 30Boxes™ calendar and all the Private events would have a BUSY sent to 30Boxes™ calendar during synchronization.

Private Events Information Publishing is activated; hence all the private events would have their actual Information with them when they are sent to 30Boxes™ calendar.

Publish only Free/Busy information is not activated, hence all the events which are being exported to 30Boxes™ calendar would have their actual information with them.

EFFECTIVELY, all the non Private and Private Events would have their actual information sent to 30Boxes™ calendar during Synchronization.

Private events information publishing is activated; hence all the Private Events would have their actual Information with them when they are sent to 30Boxes™ calendar.

* Please note that even if the Private Event information publishing is activated, Publish Free/Busy information publishing would send only Free/Busy for the Private Event to 30Boxes™ calendar during synchronization.

Publish only Free/Busy information is activated, hence all the events which are being Exported to 30Boxes™ calendar would have FREE/BUSY with them.

* If an Event is marked as Free, then it would have FREE with it, otherwise it would have BUSY with it, when it is sent 30Boxes™ calendar.

EFFECTIVELY, all the Non Private events and Private Events would have FREE/BUSY sent to 30Boxes™ calendar during synchronization.

 
   
  Color labeling for events is a feature by which events in Outlook, which are synchronized from 30 BoxesT calendar can be colored. Many a times, users typically use a single Outlook calendar with 2 or more 30 BoxesT calendar and this feature allows events from different 30 BoxesT calendars to be differentiated on the basis of color of labels present in Outlook.

All you have to do is define the color with which you want the events in Outlook to be marked, while defining the operation in SyncMyCal 30Boxes settings and then synchronize. This feature is available in Outlook 2003 Professional version for SyncMyCal 30Boxes.

How to determine if my OS is 32 bit or 64 bit?
 
Please note that normal operating systems are 32 bit OS. 64 bit OS are specifically indicated in the windows where information about 32 bit or 64 bit OS is being looked
1. Please go to Start>>Computer/My Computer.
   
 
2. Right click on Computer/My Computer and then click on “Properties”.
3. In the new window which opens, please view the information under “System” for Windows Vista OS and under “General tab” for other Windows OS.
 
   
  Alternatively,
1. Go to Start>>Run, and then type, ‘dxdiag’. Click on the OK button.
2. If a Windows dialog box is displayed asking if you want to verify your drivers, you can safely click NO and continue.
3. In the new window which appears, please view the “Operating system” line.
   
 
   
 

* If you are getting information like “Microsoft ………..for Itanium based systems, then those systems also refer to 64 bit editions of OS.

 
Advanced Settings
   
  Advanced settings allow you to configure Auto sync and Proxy authentication settings for SyncMyCal 30Boxes.
   
 

To activate Auto sync feature for SyncMyCal 30Boxes

  1. Click on the link in the SyncMyCal 30Boxes toolbar.

  2. Check the “Enable Auto sync” check box.

  3. Choose the duration when SyncMyCal 30Boxes should automatically synchronize.

  4. Click on the button.
 
 

To configure Proxy authentication for SyncMyCal 30Boxes

  1. Click on the link in the SyncMyCal 30Boxes toolbar.

  2. Click on the Connection link in the Left hand Navigation pane.

  3. Click on “Use the following Proxy” Radio button.

  4. Enter the required fields and then click on the button.
 


Advanced filters are designer to change the way SyncMyCal 30Boxes queries Outlook events. This is an advanced feature and you are requested not to check it until you have been asked to do so by a SyncMyCal Support representative.

 
   

Scenarios

  A scenario refers to an operation and briefly outlines its functionality. There are four different scenarios in SyncMyCal 30Boxes.
   
   
Download Only

 
  • In this scenario, all new events defined in the 30Boxes™ calendar are downloaded into the Outlook® calendar (to which it is mapped).
  • In case the new events have been created in Outlook® calendar, they will remain in Outlook® calendar after synchronization. No Change would be observed in the 30Boxes™ calendar.
  • All the changes/updates in the 30Boxes™ calendar are reflected in the Outlook® calendar, after synchronization.
  • In case, changes/updates of event takes place in Outlook® calendar and no event change/update is there in 30Boxes™ calendar, no update would be observed in the 30Boxes™ calendar after the synchronization operation.
  • In case of deletion of events existing in 30Boxes™ calendar, synchronization would result in deletion of the same events existing in the Outlook® calendar after synchronization.

  • In case of deletion of events existing in Outlook® calendar, synchronization would result in creation of the same event in Outlook® calendar after synchronization.
 
Upload Only

 
  • In this scenario, all new events defined in the Outlook® calendar are downloaded into the 30Boxes™ calendar (to which it is mapped).
  • In case, the new events have been created in 30Boxes™ calendar, they will remain in 30Boxes™ calendar after synchronization. No change would be observed in the Outlook® calendar.
  • All the changes/updates in the Outlook® calendar are reflected in the 30Boxes™ calendar, after synchronization.
  • In case, Changes/Updates of Event takes place in 30Boxes™ calendar and No Event change/update is there in Outlook® calendar, no update would be observed in the Outlook® calendar, after the Synchronization operation.
  • In case of deletion of events existing in Outlook® calendar, Synchronization would result in deletion of the same events existing in the 30Boxes™ calendar, after synchronization.

  • In case of deletion of events existing in 30Boxes™ calendar, Synchronization would result in creation of the same event in 30Boxes™ calendar after synchronization.
 
Synchronize (30Boxes Precedence)

 
  • In this scenario, all new events defined in 30Boxes™ calendar and Outlook® calendar would be published in both calendars.
  • In case an event is changed in Outlook® calendar only, the Outlook® calendar event would overwrite the 30Boxes™ calendar event.
  • In case an event is changed in 30Boxes™ calendar only, the 30Boxes™ calendar event would overwrite the Outlook® calendar event.
  • If an event is updated on both calendars, then 30Boxes™ calendar changed event will overwrite the Outlook® calendar’s changed event.

  • Deletion of events would take place only when deletion of the parent event takes place. So, if an event has been added in 30Boxes™ calendar and then it is synchronized with any precedence, then the event appearing in Outlook® calendar would only be deleted when 30Boxes™ calendar event (parent event) is deleted and synchronization is done. Vice versa holds true.

  • In case determination of parent is not possible, then either event being deleted would result in the deletion of the other event after synchronization. For e.g., if you add an event in 30Boxes™ calendar and then synchronize with any precedence, then the event appearing in Outlook® calendar would be a child event. However, now if a change is made to the Outlook® calendar event and then synchronization is done, then there would be no parent event since Outlook® calendar event changes would override the 30Boxes™ calendar event and this would lead to the scenario wherein deletion of either event followed by running synchronization would delete the event from the other end.
 
Synchronize (Outlook Precedence)

 
  • In this scenario, all new events defined in 30Boxes™ calendar and Outlook® calendar would be published in both calendars.
  • In case an event is changed in Outlook® calendar only, the Outlook® calendar event would overwrite the 30Boxes™ calendar event.
  • In case an event is changed in 30Boxes™ calendar only, the 30Boxes™ calendar event would overwrite the Outlook® calendar event.
  • If an event is updated on both calendars, then Outlook® calendar’s changed event will overwrite the 30Boxes™ calendar's changed event.

  • Deletion of events would take place only when deletion of the parent event takes place. So, if an event has been added in Outlook® calendar and then it is synchronized with any precedence, then the event appearing in 30Boxes™ calendar would only be deleted when Outlook® calendar event (parent event) is deleted and synchronization is done. Vice versa holds true.

  • In case determination of parent is not possible, then either event being deleted would result in the deletion of the other event after synchronization. For e.g., if you add an event in Outlook® calendar and then synchronize with any precedence, then the event appearing in 30Boxes™ calendar would be a child event. However, now if a change is made to the 30Boxes™ calendar event and then synchronization is done, then there would be no parent event since 30Boxes™ calendar event changes would override the Outlook® calendar event and this would lead to the scenario wherein deletion of either event followed by running synchronization would delete the event from the other end.
 

Synchronization refers to the execution of 'Download', 'Upload', 'Synchronize with 30Boxes precedence' and 'Synchronize with Outlook precedence' operations. These operations are highly dependent on the 'Synchronization window', in other words, on the period of time in which events are being targeted for synchronization.

 

Synchronization

 

Synchronization refers to the execution of the various operations which are configured in SyncMyCal 30Boxes, and which are marked as Active. Only Operations, which are marked as Active, would be executed during Synchronization, and the order of execution would be the same as what is defined in Settings.

   
 

Synchronization can be performed by clicking on the  button, in the SyncMyCal 30Boxes toolbar.

Invoking synchronization opens up a synchronization progress window, which shows the various operations being synchronized.

If due to some reason, the synchronization process could not be completed, appropriate error messages are generated and these Error Messages can be viewed by clicking on the  button. Errors can be emailed to support by clicking on the

Check for Updates

 

SyncMyCal 30Boxes automatically checks for an updated version and prompts when new update is available. Latest updates can also be checked for SyncMyCal 30Boxes by clicking on the “Check for Updates” button, in the Settings window. SyncMyCal 30Boxes would check for the latest version, and prompt you if your installed version is out of date.

  SyncMyCal 30Boxes calendar is a software tool which helps you synchronize events from your Outlook® Calendar to 30Boxes™ calendar and vice versa.
 
How can it help me?
  SyncMyCal 30Boxes helps you keep your Outlook® and 30Boxes™ calendar up-to-date with all the information about your meetings and events. This makes you better organized and helps you avoid time conflicts among your scheduled meetings even when you are using multiple calendars. It also helps you share your Outlook® calendars with your team members even when you do not have access to your organization’s Microsoft® Exchange server.
 
Can I synchronize events both ways – from SyncMyCal 30Boxes calendar to Outlook® calendar or from Outlook® calendar to SyncMyCal 30Boxes calendar?
  Yes, SyncMyCal 30Boxes provides two-way synchronization. The direction of synchronization depends upon the settings defined by you.

     Allows the user to synchronize the events with respect Outlook® calendars

Does SyncMyCal 30Boxes work if I use multiple Outlook® and SyncMyCal 30Boxes calendar?
  Yes, SyncMyCal 30Boxes helps integrate multiple calendars of Outlook® and 30Boxes™ calendar. This could involve connecting multiple calendars of 30Boxes™ calendar with one Outlook® Calendar and vice a versa or it could also involve making multiple pairs of one-to-one connected calendars of Outlook® and 30Boxes™ calendars.
 
How can SyncMyCal 30Boxes utility help me share my Outlook® calendars without using Microsoft® Exchange server ?
 

You can synchronize all your events to a common calendar of 30Boxes™ calendar. This implies that at any time all your event information would be online in the common calendar. If someone wants to synchronize with your events then he requires the 30Boxes calendar Authentication token of the 30Boxes™ calendar account. Thus, the other person can synchronize to your events without any Microsoft® Exchange server.

 
How much time and effort will it take me to synchronize my calendars?
  SyncMyCal 30Boxes provides you an effortless way to keep you calendars in sync. It takes you just a few minutes to define synchronization settings for the first time you use the tool. After that, all it takes is a click of a button to initiate the synchronization. An alert is displayed when the synchronization is complete.

Please note that the performance of SyncMyCal 30Boxes also depends upon the following factors:

  -  Your Internet connectivity speed (Bandwidth etc)
  -  30Boxes™ calendaring service speed.
  -  Number of calendars being synchronized.
 
Does the tool require any special training to use?
  No, SyncMyCal 30Boxes is so intuitive and easy to use that you do not require any training to use it.
 
Does the tool give me an option to synchronize only selective events instead of all the events ?
  Yes, SyncMyCal 30Boxes gives you the flexibility to select which events you want to synchronize and which you do not. This can be done in two ways. The selection of date range allows you to exclude those events from synchronization which lie outside the selected date range. Besides, you can turn off the publishing of Outlook® private events "complete information" to 30Boxes™ calendar by unchecking the “Publish private events?“ check box on Add/Edit Settings window in the Settings tab.
 
Does SyncMyCal also synchronize recurring events?
  Yes, the plug-in allows two-way transfer of information about newly created, updated or deleted recurring events.
 
Does the plug-in work if the time zone settings of my Outlook® and SyncMyCal 30Boxes calendar are different?
  Yes, the plug-in takes into account the difference in time zone settings between your calendars and adjusts the meeting schedules accordingly. So, Calendar with different time zone, show the same event for different time periods.
 
Is SyncMyCal 30Boxes tool easy to install and uninstall?
  Yes, a step-by-step installation/uninstallation wizard guides you through the process with ease. You may also uninstall SyncMyCal 30Boxes by going to “Add Remove” programs in Control Panel and removing it.
 
Are there any specific hardware or software requirements to run SyncMyCal 30Boxes tool?
  SyncMyCal works currently on Microsoft Outlook 2003 Professional edition on Windows® 2000 Service Pack 3; Windows® Server 2003;Windows® XP; Windows Vista™ machines . There are some mandatory software requirements:
     
  -  .NET Framework Runtime 2.0.
  -  Office 2003 Primary Interop Assemblies (PIA) for Microsoft Outlook® 2003
  -  Microsoft Visual Studio® 2005 Tools Runtime for the Microsoft® Office System
     (VSTO2005).
